When most people think about event staging, they picture a platform and move on. But choosing the right stage involves more decisions than you might expect—decisions that impact safety, visibility, aesthetics, accessibility, and the overall guest experience. Whether you're hosting a wedding ceremony, a school performance, a keynote talk, or a gala awards show, understanding your stage options helps you get it right the first time.
At Heron Events, we build stages for all kinds of events each week, so here’s a helpful breakdown of what goes into choosing the perfect one.
1. Types of Stages: What’s Out There?
There are many staging systems available, but the most common include:
Portable Panel Stages
Made from modular panels—typically 4x4 or 4x8—these stages can be configured in countless shapes and sizes. They’re ideal for indoor and outdoor events.
Risers / Platforms
Often used for choirs, speakers, or small performances. These are typically smaller, premade platforms at a fixed height.
Runways & Catwalks
Used for fashion shows or interactive performances. These are narrow, elongated stage layouts that require careful bracing for stability.
Truss-Based Stages
More common for concerts or large outdoor productions. These incorporate overhead truss structures for lighting and audio rigging.
For most private, corporate, and school events, portable modular stages are the gold standard—and that’s what we use.
2. What Goes into Choosing the Right Stage?
When planners ask, “What size stage should we get?” the real answer depends on several factors:
✔ How many people will be on the stage?
A couple exchanging vows needs far less space than an eight-person band with drums, amps, and monitors.
✔ What will be on it besides people?
Podiums, décor, musical instruments, lecterns, props, and backdrop supports all take space.
✔ How visible does it need to be?
The further your audience sits, the higher the stage typically needs to be.
✔ Venue restrictions
Ceiling height, floor type, and room shape can limit what is safe or feasible.
✔ Safety and accessibility
Larger or higher stages require railings, proper bracing, stairs, and potentially ADA ramps.
3. A Simple Trick for Determining the Size You Actually Need
Here’s a tip I give planners all the time—and it works beautifully: Lay out the entire stage on the floor using tape.
Make a list of everything and everyone that will be on your stage.
Clear a section of floor.
Use painter’s tape to “draw” the stage size on the ground.
Stand inside it. Place props. Set up chairs. Visualize movement.
Measure the taped area.
Almost every time, clients are surprised—they either need more room than they expected, or occasionally discover they can size down and save budget.
4. Height Matters More Than You Think
Stage height depends on audience size and sightlines.
8–12 inches: Small gatherings, intimate venues, or places where ADA ramps are needed.
16–24 inches: Medium-size audiences, weddings, and most indoor events.
24–36+ inches: Large venues, auditoriums, outdoor events, or situations where a clear line of sight is essential. This includes if there will be no seating, so the audience will all be standing.
Higher stages require additional safety hardware, bracing, and stairs, as well.
We’ll help you determine the best height based on your layout, seating plan, and venue restriction
5. Why Stage Skirting Is a Must
Skirting may seem like a small detail, but it serves several important purposes:
Hides cables, equipment, and bracing
Creates a polished, finished look
Improves brand continuity when matched with décor
Prevents guests from noticing structural elements
A clean, professionally skirted stage elevates the entire event design. For weddings and galas, skirting is non-negotiable—it completes the look.
6. What Makes Our Stages Different: Bil-Jax 4x4 Steel-Frame Panels
At Heron Events, we use 4x4 Bil-Jax stage panels—not the newer 4x8 aluminum styles. Here’s why our clients love them:
✔ Durability You Can Count On
Bil-Jax panels are built with steel frames and solid plywood floors, making them incredibly sturdy and reliable.
✔ Limitless Customization
Because the surface is real plywood, we can easily attach:
Carpet
Custom Vinyl Wrap
Scenic flooring
Or custom finishes to match your theme
✔ Easy, Affordable Maintenance
Modern 4x8 aluminum stages use integrated vinyl or carpet tops that are hard to repair when damaged. Our Bil-Jax panels? If a panel gets scratched or dented, we simply swap out the plywood and repaint it.That means your stage always looks clean and professional—without the high replacement costs.
✔ Flexibility in Design
With 4x4 panels, we can build virtually any shape or size, including:
Standard rectangles
Runways
Multi-level stages
Custom layouts for ceremonies or performances
Final Thoughts
Choosing the right stage isn’t just a technical decision—it’s a design and experience decision. The right size, height, finish, and layout help your performers shine, your speakers connect, and your guests stay engaged.
If you’re planning an event and aren’t sure where to start, we’re happy to walk you through options or even tape out your stage layout with you. With the right planning and the right equipment, your stage becomes more than a platform—it becomes the literal foundation of your event.
